What's new

The in-app video meeting is now run from a single Ramblers toolbar. Recording for minutes is optional and clearly explained before capture begins. When enabled, speech is transcribed by the site's notes service and kept within the group. Leaving the call produces a draft that an organiser can review, edit, preview and publish to the appropriate committee documents page.

Minutes are based only on the captured meeting record: spoken words, chat and notes. The record is preserved before it is summarised, and unusable summaries fall back to that record so a recorded meeting still produces an authentic write-up. Longer meetings now have enough transcription and summary capacity for complete minutes, with speakers and timings retained in a separate structured transcript.

The surrounding workflow is now shareable and easier to manage. Committee document edit and preview modes, and the Minutes or Transcript selection, remain in the URL. On-screen previews flow continuously unless an editor deliberately inserts a page break, while printing retains A4 pagination. Draft notifications are written directly to the NGX Inbox with properly rendered Markdown instead of being sent through Outlook, and an automated boundary test prevents meeting notifications from bypassing the inbox again.

The room itself is now easier to run in the moment. Invite uses the same recipient chips as the rest of the site, View and Quality show the choice that is in force, participant overflow uses Ramblers sunrise yellow, and a tall or narrow window stacks people from the top. Accept, Decline and Maybe on a calendar invite are recorded on that meeting, so replies are visible when the meeting is opened again.

Planning a meeting

• Pick a date on the calendar, then set the time, title and whether it is in person, online or hybrid
• Invite guests or include a list when you send
• Opening a planned meeting shows a Replies table of who has answered
• Accept, Decline and Maybe on the calendar invite are recorded on that meeting

In the room

• Run the meeting from the top toolbar: Record, Chat, People, Raise, View, Notes, Invite, Camera, Mic, Share, Full, Quality and Leave
• Notices, meeting information and video stay inside the available screen instead of clipping at the bottom
• Provider branding, the unexplained black block, the duplicate meeting subject and the central performance badge are gone
• People opens a list of who is in the call, with Invite from the same panel
• Invite uses the existing recipient chips, offering group members and previously saved guests
• View offers Speaker or Gallery, and the toolbar shows which layout is in use
• Quality stays open after a choice so the tick moves, and the toolbar shows Data saver, Balanced or Best quality
• The three-dot overflow on a participant thumbnail uses Ramblers sunrise yellow
• A tall or narrow window uses a gallery that packs people from the top and grows downwards
• Disabled quiet buttons are visibly faded

Recording

• Recording starts only when you select it, with a notice explaining what is captured and how to stop it

After the call

• Members leaving a recorded call see progress while minutes are collected, then a link to review the draft
• Guests see a simple meeting-ended screen
• Draft-ready notifications appear in the NGX Inbox with headings, lists and other Markdown rendered correctly

Minutes

• Draft headings show Draft minutes — Meeting title, with the meeting title capitalised
• Minutes actions and the Minutes or Transcript selector share one row, and every action explains its effect in a tooltip
• A draft can be saved, previewed, rewritten from its transcript or deleted
• Publish saves the draft and adds it to the selected committee documents page; it is disabled with an explanatory tooltip when the document is already published or no destination is available
• Published minutes use Open document consistently
• The selected Minutes or Transcript view stays in the URL so it can be bookmarked or shared
• Names, places, chat and typed notes stay faithful to the captured record, while ordinary prose uses British spelling
• Duplicate overlap, impossible transcription volume, stage directions and stock phrases over silence are filtered out
• Hour-long and fast-paced meetings have a realistic transcription allowance for a full write-up

Transcript

• The transcript is presented as speaker entries with names, timestamps and spacing rather than one unformatted block
• Deleting a draft removes the committee listing while retaining the transcript so minutes can be generated again

Committee documents

• Opening a committee document records the selected document and Edit or Preview mode in the URL; saving or cancelling clears those parameters
• The intermediate Minutes breadcrumb returns to the Meetings page
• On-screen previews create a new sheet only for an explicit editor page break; Print still paginates naturally on A4
• Meeting links use a stable room-based document slug, and recent committee documents are sorted newest first

Also in this release

• Anchor-style buttons are vertically centred consistently throughout the application
• Mail displays encoded quotation marks correctly, and the selected-conversations menu is no longer clipped by the message pane
