{"id":"6a03a2a9d9b21caa861e3f7f","title":"Walk Editor","path":"how-to/committee/walks/walk-editor","contentMarkdown":"# Completing Walk Details\n\nOnce a walk slot has been created (see [Add Walk Slots](https://ngx-ramblers.org.uk/how-to/committee/walks/add-walk-slots)), a walk leader claims it and fills in the details across seven tabs in the walk editor. This guide walks through each tab end to end, using a live example: a Sunday slot on 26 July 2026 from the East Kent Walking Group programme.\n\n## When This Applies\n\nThis flow applies when your group is on **Local Walk Population**. If your group syncs from Ramblers Walks Manager, the walk editor is read-only and walks are pulled from that system instead.\n\nYou can check your mode in *Admin > System Settings > Group / Area Configuration > Group Walk Population*.\n\n## Step 1: Open the Walks Page and Find an Unclaimed Slot\n\nOn the public walks page, every slot card shows an action button in its top-left corner. The label depends on who you are:\n\n- **Not logged in** - the button says *view* and takes you to the read-only walk detail page\n- **Logged in but the slot is \"Awaiting walk leader\"** - the button says *lead* and takes you straight into the walk editor\n- **Logged in as the walk leader, walks coordinator, or admin** - the button says *edit* (or another contextual caption) and opens the editor for that walk\n\nIf your forward programme spans more than a page, use the pager at the top of the list to step through. The screenshot below shows page 2 of the EKWG programme, viewed by a logged-in regular member: the Sunday 26 July 2026 card is still **awaiting a walk leader** - no leader has stepped forward and no details have been entered. The Sunday 26 July slot is empty and shows the *lead* button alongside several other unclaimed Sunday slots.*\n\n## Step 2: Press \"lead\" to Claim the Slot\n\nPressing *lead* on the card does three things in one step:\n\n1. **Assigns you as the walk leader** - your member record is linked to the walk\n2. **Moves the walk to \"Awaiting walk details from leader\"** - so visitors can see it is now allocated\n3. **Opens the walk editor** at `/walks/edit/<date>` with all the fields blank, ready for you to populate\n\nA green confirmation banner appears at the bottom of the editor:\n\n> Thanks for offering to lead this walk! Please complete as many details as you can, then click Save to allocate this slot on the walks programme. It will be published to the public once it's approved. The green banner at the bottom confirms the slot is now allocated to you.*\n\n## Step 3: Work Through the Tabs\n\nFrom here you fill the walk in tab by tab. Each screenshot below shows the same Denton Circular walk populated for the first time. You can save at any point and come back later - the slot stays allocated to you until you cancel or until a walks coordinator releases it.\n\nThe tabs appear in this order on screen: Main Details, Walk Details, Related Links, Leader, Features, Images, Risk Assessment, History, Copy...\n\n### Tab 1 - Main Details\n\nThis is the headline data for the walk: start time, finish time, distance, average miles per hour, walk title, walk description, and (optionally) a maximum capacity and \"max pre-booking\" limit if you are running a booked walk.\n\nThe date itself is locked - it was set when the slot was created and is not editable from this screen. Once recognised, the location is plotted on the map with two yellow controls to fine-tune the pin or open the meeting point in Google Maps\n- **Route** - grade (easy / moderate / strenuous), walk type (linear / circular), ascent in feet or metres, and a GPX file uploader for the route track\n- **Route & Venue** - a combined view of both, with a \"My walk has a separate meeting point or I want to specify a meeting time\" option for walks where parking and the route start differ\n\nTogether the three sub-tabs answer \"where do we meet?\" and \"what's the route?\". Three sub-tabs split it up:\n\n- **Ramblers** - the Ramblers Walks Manager record. Nothing to enter here yourself: the Ramblers Id is populated automatically when the walk is exported to Ramblers Walks Manager. The note at the top of the panel summarises any preconditions still blocking that export (missing Walks Manager Contact Name, missing distance, missing GPX route, etc). The **Publish to Ramblers** checkbox lives here and decides whether this walk is eligible for the next export.\n- **OS Maps** - an optional OS Maps URL for the route. These default to the values from your member profile but can be overridden per walk - useful when a different number applies for that day.\n\nThe two values feed the Group Walk Leader card visitors see on the public site, and they also feed the Walks Manager Contact when the walk is exported. None / Local / Walks Manager selector.*\n\n### Tab 7 - Risk Assessment\n\nA structured set of questions covering the five categories Ramblers requires walk leaders to confirm:\n\n- **Traffic** - road crossings, walking along roads, road suitability\n- **Path surfaces and obstacles** - slippery paths, loose rocks, stiles, fallen trees, steep drops\n- **Animals** - livestock, ticks, biting insects\n- **Communications** - phone signal, registration with 999 emergency text service, last-back checks\n- **Other** - hazards not covered above (e.g. Covid-19 considerations)\n\nEach category has free-text notes plus a \"Please confirm you have reviewed this section above\" tickbox. A yellow status banner at the bottom shows which categories still need attention. The \"Read more about guidance for group walks\" link at the top opens the Ramblers Walk Leader Charter in a new tab.\n\nThe Risk Assessment tab only appears when two conditions hold:\n\n- The walk is editable for you (you are the leader, the walks coordinator, or an admin), **and**\n- Risk Assessment is enabled for the group. This is controlled by *Admin > System Settings > Walk Configuration > Require risk assessment*. Every state change and every field change is logged with the member who made it.*\n\n### Tab 9 - Copy...\n\nA shortcut for re-using details from a previous walk:\n\n- **Previously led by** - pick any walk you have led before and copy its details into this slot\n- **With an OS Maps route I can follow** - copy from a walk that has an OS Maps URL attached\n\nThe dropdown lists \"Copy from N available walks\". This is the fastest way to set up a repeat of a walk that already has a known good description, route file, and risk assessment.\n\nThis tab is only visible once the walk has a contact member assigned (i.e. after step 2 above).\n\n![](https://ngx-ramblers.org.uk/api/aws/s3/site-content/0cd2a978-774d-48b7-990b-3a2c4afbdafc.png)\n\n*Tab 9: Copy... - clone an existing walk's details into the new slot.*\n\n## Step 4: Save and the Walk's Lifecycle\n\nThe action buttons sit below the tabset and apply regardless of which tab is active. The set of buttons you see changes with the walk's current stage:\n\n- **Save** - writes whatever you have so far. After your first save the walk stays in *Awaiting walk details from leader*: visitors can see it is allocated to you, but it is not yet on the public programme.\n- **Cancel** - undoes any changes that have been made during the last edit. When you choose this option, you will be prompted again to **Confirm** that you want to lose your changes or **Cancel** to continue editing.\n- **Delete** - appears once the walk has been saved. Removes the walk record entirely. Most leaders should use Cancel instead.\n- **Request Approval** - submits the walk for a walks coordinator to approve. The walk moves to *Awaiting approval*.\n- **Approve** - shown to walks coordinators only. Promotes a walk from *Awaiting approval* to *Approved*. Approved walks appear on the public programme and (if *Publish to Ramblers* is ticked) become eligible for the next Walks Manager export.\n\nA *Notify [coordinator] about this change* toggle below the buttons decides whether the coordinator gets an email when you save.\n\nThe walk progresses through these stages in order. The &quot;Read more about guidance for group walks&quot; link at the top opens the Ramblers Walk Leader Charter in a new tab.</p>\n<p>The Risk Assessment tab only appears when two conditions hold:</p>\n<ul>\n<li>The walk is editable for you (you are the leader, the walks coordinator, or an admin), <strong>and</strong></li>\n<li>Risk Assessment is enabled for the group. This is controlled by <em>Admin &gt; System Settings &gt; Walk Configuration &gt; Require risk assessment</em>. Each row shows the timestamp, the member who made the change, the resulting event type (&quot;Awaiting walk leader&quot;, &quot;Awaiting walk details from leader&quot;, &quot;Approved&quot;, etc.), and a comma-separated list of fields that changed in that step.</p>\n<p>The History tab is visible to the walk leader and to admins only.</p>\n<p><img src=\"https://ngx-ramblers.org.uk/api/aws/s3/site-content/4b8fa8a8-ef4d-4835-9734-c239c1549d68.png\" alt=\"\"></p>\n<p><em>Tab 8: History. Every state change and every field change is logged with the member who made it.</em></p>\n<h3>Tab 9 - Copy...</h3>\n<p>A shortcut for re-using details from a previous walk:</p>\n<ul>\n<li><strong>Previously led by</strong> - pick any walk you have led before and copy its details into this slot</li>\n<li><strong>With an OS Maps route I can follow</strong> - copy from a walk that has an OS Maps URL attached</li>\n</ul>\n<p>The dropdown lists &quot;Copy from N available walks&quot;. This is the fastest way to set up a repeat of a walk that already has a known good description, route file, and risk assessment.</p>\n<p>This tab is only visible once the walk has a contact member assigned (i.e. after step 2 above).</p>\n<p><img src=\"https://ngx-ramblers.org.uk/api/aws/s3/site-content/0cd2a978-774d-48b7-990b-3a2c4afbdafc.png\" alt=\"\"></p>\n<p><em>Tab 9: Copy... - clone an existing walk&#39;s details into the new slot.</em></p>\n<h2>Step 4: Save and the Walk&#39;s Lifecycle</h2>\n<p>The action buttons sit below the tabset and apply regardless of which tab is active. The set of buttons you see changes with the walk&#39;s current stage:</p>\n<ul>\n<li><strong>Save</strong> - writes whatever you have so far. After your first save the walk stays in <em>Awaiting walk details from leader</em>: visitors can see it is allocated to you, but it is not yet on the public programme.</li>\n<li><strong>Cancel</strong> - undoes any changes that have been made during the last edit. When you choose this option, you will be prompted again to <strong>Confirm</strong> that you want to lose your changes or <strong>Cancel</strong> to continue editing.</li>\n<li><strong>Delete</strong> - appears once the walk has been saved. Removes the walk record entirely. Most leaders should use Cancel instead.</li>\n<li><strong>Request Approval</strong> - submits the walk for a walks coordinator to approve. The walk moves to <em>Awaiting approval</em>.</li>\n<li><strong>Approve</strong> - shown to walks coordinators only. Promotes a walk from <em>Awaiting approval</em> to <em>Approved</em>. Approved walks appear on the public programme and (if <em>Publish to Ramblers</em> is ticked) become eligible for the next Walks Manager export.</li>\n</ul>\n<p>A <em>Notify [coordinator] about this change</em> toggle below the buttons decides whether the coordinator gets an email when you save.</p>\n<p>The walk progresses through these stages in order.
